Voting Meeting Minutes of
February 17, 2021
The meeting was called to order by Stephanie Miner via Zoom at 7:32 P.M.
Present: Deanna Brown, Mary Cambridge, Diann Dupuis, Nancy Frye, Lindsey Hakala,
Kayleigh Kavanagh, Stephanie Miner
Absent: Gary Pritchard, Sandi Pritchard

I. Review of minutes: Lindsey Hakala, Secretary
November 18, 2020 voting minutes reviewed
January 20, 2021 non-voting minutes reviewed
Motion 2021-02-01: M. Cambridge and D. Dupuis seconded to approve both minutes
as submitted. November 2020 & January 2021 minutes were approved unanimously.
II. Treasurer’s Reports: Mary Cambridge, Treasurer
a. January Reports
Income: $1962
Expenses: $0
III. Reports:
a. Chairman’s report: Sandi Pritchard has submitted her resignation letter.
She feels it is time to turn her job over to someone new.
b. Commissioner’s report of activities, grounds review & participation:
M. Cambridge has spent 67.5 hours working in the print shop. Organizing cabinets,
moving some things on, took index card files home to review. Bought and installed
new, consistent (black) roping in all house but Bungalow.
c. Greenmead Supervisor: Emily Tchorz-Fielder
i. Maintenance Update: snow has slowed some work down.
1. Gift Shop Complete and set up ready to open.
2. North barn doors should be starting as soon as weather is
more cooperative. Will do one at a time when weather is
better.
ii. Future Maintenance Projects:
1. Hill House Sunroom has a leak on west wall and porch at
kitchen entrance has a few loose boards. Also, floor in map
room has a few loose boards. Will watch and ask Randy to
assess when he does first two items in Hill House.
2. Did building checks to look at roofs, windows and sump
pumps. All looked good.
3. Capital Improvement Projects Committee Meeting in March
This is for projects more than $15K. Looking at Kingsley and Bungalow roof until we
hear back after master plan done.
iii. Budget Status of the Trust Fund: $253,545.95
IV. Review of Events & Planning for Future Events:
a. Valentine’s Day Sachet Class canceled- lack of interest, only 3 signed up
b. Cookie Decorating Class with Diann on March 6. Current capacity limits -20
people in ABH, with latest count at 14.
c. March 15 speaker – Ms. Gwendolyn Lewis as Coretta Scott King via zoom
d. Event categories and lead staff member
i. Large Special Events (Festivals, Markets, Encampments, Sales) -
Maureen
ii. Educational (lectures, workshops, classes, etc.) – Emily
iii. Teas/Luncheons – Maureen
iv. Support Groups Events
1. Friends – Emily
2. LHS – Emily
3. Garden Club – Maureen
4. Questers – Maureen
e. LHS isn't doing speakers at this time, so Emily has lined up several other speakers
for April and May.
f. Flea Market. On hold for now due to covid.
g. Happily, Ever After moved to July. But still covid dependent.
h. Jewelry sale. Commission surprised at move to August and on two weekdays.
Commissioners all felt there were too many challenges to hold this event due to covid.
Must decide at next meeting.
V. New Business
a. Greenmead Master Plan RFP
i. The steering committee suggests approving funds for Wade Trim
ii. Recommendation to approve funds
Motion 2021-02-02: N. Frye make a motion to recommend to the City Council the
approval of $79,500 in funds for a Master Plan as presented by Wade Trim, K.
Kavanagh seconded. The Commission discussed the proposal but felt they were not
given enough time to thoroughly read the information provided. It was unanimously
approved.
b. The Commission was concerned over the gift of $40K from Bob Hardies
via Bill Joyner. We aren't comfortable with accepting a donation with
strings attached. Also, the Hall of Fame is a relatively new thing (15
years) and is not historical or have anything to do with Greenmead.
Understand it is on hold, but we feel we should decide whether to accept it
and the conditions.
c. Cloverlane sign potential to sell is gone. Sign is now MIA.
d. New Events
i. Maureen and Emily were asked by Ted Davis to provide 12 more
events throughout the year. New suggestions?
1. Sack races, field day, etc. are just activities, not an event
2. Love Livonia—in works, but will be covid dependent
ii. New event ideas: Virtual road rally, classes, Westland Ghost Hunters, chicken guy
talk and demo, Blue Line farm demos, First Responder Day—with out Fire Truck too,
Boy Scout presentations, build a bird house with Dad, Inclusion/Diversity Day—have
Seedlings teach some braille, sign language demo, autistic focus, use Greenhouse as
backdrop for flower arranging, planting flowers, growing from seeds, summer solstice
yoga, bring our fire truck out on a story time Saturday with a fire truck story. Send any
ideas to Maureen.
