Motion 01/01: Approve the November meeting minutes as written. Motion by Barbara Mansfield, Seconded by Sandi Pritchard All in favor, motion carried. I. Treasurer’s Reports: Mary Cambridge, Treasurer Reported November and December Income and Expenses. Hinbern Sales ($1,786.24), Church Rentals ($700.00), Meeting House Rentals ($300.00) Tours ($161.00), Special Events ($4699.45), Expenses Supervisors and Office Staff ($1,520.00) Special Events ($1,215.26) Advances for Events ($2,000) Tour Count in December 111 visitors. End of Year Summary: Special Events $69,649.52, Tour Admissions $ 732.00 (Adults 146 Children 45) Gift Shop $ 3,611.92, Rentals: Hill $5,025 Church $16,250 Meeting House $6,180 Blue House $33,515.39 Security Deposits $15,400 Donations $13,741.83 II. Reports: a. Chairman’s report: Stephanie has been going through mail and such mentioned the Michigan in Perspective event on March 23&24th in Sterling Heights. Conference cost is $55. Discussed Tour Sundays and passed around the schedule for this year so we can sign up for our Sundays. Also, discussed the December Tour dates ending early so that docents can attend program in church. All were in agreement to make that happen. Received thank you notes from the ladies in office. (These were passed around the table). Suggestion to Change Commission Reports to a spread sheet in Google Drive that we as commissioner’s go into and put in our time for month. If you are not comfortable doing, this please send information to Stephanie and she will input. b. Commissioner’s report of activities, building reviews & participation: i. Deanna Brown: Tour Sunday, and Wedding. Talked about signage for Tours. Deanna has taken this on to have completed. ii. Mary Cambridge: Christmas Decorations at Hill and take down, Did Bungalow decorating, working on Church Basement, 3/4 done iii. Nancy Frye: working on Tour Books, looking for feedback from us iv. Barbara Mansfield: going through papers at home, attended Society meeting on Monday, 33 in attendance, working on Flea market and Jewelry sale. v. Michael Marihugh: working on Service project through Madonna vi. Gary Pritchard: no hours worked vii. Sandi Pritchard: no hours worked viii. Patti Trojan: gift shop during Christmas walk, weddings, Brides to be show preparation, volunteer reception food c. Greenmead Supervisor: Emily Tchorz i. Maintenance Update 1. Screen doors: still waiting on 2. Railings: complete at Geer and Hill House 3. Parking lot: complete (not out of our budget but cost $200K) 4. Carriage House: no foundation issues 5. North Barn Lean To: has structural issues, about $10k to complete coming out of maintenance budget 6. Painter coming to work on Shaw and Bungalow issues ii. Rental Income to Date: 1. Church: $1,140 2. Meeting House: $540 iii. Nankin Mills School House update: Basement floor poured, steel beams removed, so far Cost $362,625.10 iv. Budget Status of the Trust Fund: $127,012.92 III. Motion 01/02 A motion to have Buildings (Church, Bungalow, Geer Store) cleaned in April and the following (School, Shaw, Kingsley) in May by Barbara Mansfield seconded by Mike Marihugh. All in favor motion passed VI. Motion 01/03 A motion to have all windows cleaned inside and out in May by Nancy Frye seconded by Mary Cambridge. All in favor motion passed VII. Motion 01/04 A motion to use funds from the Jewelry Sale in April to go towards a Glider in memory for Linda Wiacek by Mike Marihugh and seconded by Deanna Brown. All in favor motion passed VIII. Danielle Lewon talked about Grant applications they are working on to get Mrs. Hill’s wedding dress redone so it can be put on display. The next official, non-voting meeting will be Wednesday February 28, 2018. Voting Meetings: January 17, April 18, May 16, August 15, September 19, & November 21, 2018. Non-Voting Meetings: February 28, March 21, June 20, July 18, October 17, December 19, 2018.
