Voting Meeting
Wednesday, April 18, 2018
The meeting was called to order on April 18, 2018 at Alexander Blue House at 6:29 p.m.
Present: Deanna Brown, Mary Cambridge, Nancy Frye, Barbara Mansfield, Stephanie
Miner, Gary Pritchard, Sandi Pritchard, Patty Trojan
Absent: Michael Marihugh

I. Review of minutes: Patty Trojan, Secretary
a. March 21, 2018 Non-Voting meeting minutes reviewed
b. January & February minutes reviewed
1: Motion 04/01 Nancy Frye made a motion to accept March minutes,
seconded by Barbara Mansfield, all motioned to Approve
2: Motion 04/02 Barbara Mansfield made a motion to accept January
minutes, seconded by Sandi Pritchard, all motioned to Approve
3: Motion 04/03 Nancy Frye made a motion to accept February minutes,
seconded by Deanna Brown, all motioned to Approve
II. Treasurer’s Reports: Mary Cambridge, Treasurer
Mary Cambridge presented March Report
Hinbern Sales ($8.00), Church Rentals ($2,300.00), Meeting House Rentals
($1,30.00), Donations ($30,050.00) Friends of Greenmead donated $30K,
Happily Ever After ($230.00) Mary is checking on this amount seemed off.
Expenses Supervisors and Office Staff ($670.00), Meeting House Supervisors
($50.00) Supplies for Happily Ever After ($176.74)
III. Reports:
Chairman’s report: Stephanie Miner and Nancy Frye attended the New
Volunteer Orientation. Very good turnout. They also went through the
History House together, still water in basement. The house may have
mold. Lots of boxes in front room. MORSA came to get information on
building documents. Books were taken to library and there are items for
Flea Market in house.
a. Commissioner’s report of building reviews:
Mary Cambridge says the Farmhouse is almost done. Vaughn has
been assisting Mary. They have moved clothing to Church
basement for better climate for now. She also stated that great
strides have been made in getting these building cleaned up and
organized in the past six months.
Patty made mention that during a wedding earlier this month we
had an issue with the door area leaking. Sent Emily a picture to
have it looked at.
Buildings still to review:
Kingsley and Shaw
b. Greenmead Supervisor: Emily Tchorz
i: Maintenance Update: Lean-to is 98% done. Custom flashing
needs to be completed. Still needs painting. Spoke to Brookes
regarding Hinbern Roof & ramp. Bonjero regarding the foundation
around the meeting house. Due to exposed foundation, plans to re-
grade east side of Lean-to this summer. Cornerstone Painting
repaired ceiling in bathroom (History House), discovered roof had a
small leak, all repaired. Hill House sunroom being worked on
tomorrow.
ii: Rental Income:
1. Church: $1,900.00
2. Meeting House: $7,530.00
iii: Nankin Mills Schoolhouse update: sent letter we need fence back
up, needs to be cleaned up, cc Linda McCann.
iv. Greenhouse: have requested bids, should be back in the next
few weeks. $70,310 earmarked for Greenhouse. Emily accepted a
$5,000 grant last week.
v. Budget Status of the Trust Fund: $92,261.24. Commission has
$7,498.68 till end of November.
The City has also requested a photo of our Commission to be put on City
Website. We will take this picture at our next meeting.
IV. Review of Events & Planning for Future Events:
a. March/April Events Upcoming:

Previously Enjoyed Jewelry Sale April 28 10-3
Mary has been working hard to get together. Set up Friday. We also have
a new sign for Jewelry sale to attach to fence.

Coffee Klatch May 5 at Hill House, about 22 tickets sold already, 50’s
theme.
V. Action Items:
a. Cleaning up of open/old business
i. 2015
1. Pay to print the Ann Shaw Diary preserve the copies we
have.
Motion 04/04: A motion was made to rescind the printing of
Ann Shaw Diary by Nancy Frye, seconded by Mary
Cambridge.
All in favor, motion carried.
2. Repair the floor in the Blue Office
Leave this open to look at cost.
ii. 2016
1. Create circle driveway at Hill for handicap parking
Put on Wish List, leave this open
iii. 2017
1. $700 to clean carpet in Kingsley, Bungalow, & Shaw
Check on Cleaning Quotes
2. Up to $1,499 to replace Church carpet
Motion 04/05: A motion to continue to move forward on this
was made by Barbara Mansfield, seconded by Sandi
Pritchard.
All in Favor, motion carried.
Patty to assist Maureen in getting the quotes.
3. Pay Lewon up to $3K/year for archiving
b. Authorize Greenmead at no-cost for the 2018 and/or 2019 Corn Roast to
bring patrons to the grounds. Email Linda McCann regarding using our
park.
c. Open the DUR for tours for the 2018 season.
Motion 04/06: A motion to try to get this building up this season was made
by Barbara Mansfield, seconded by Sandi Pritchard.
All in favor, motion carried.
Contract to pay for the cleaning of the DUR (if we intend to open it this
year).
Let’s clean ourselves.
d. Free tours for the 2018 season
Motion 04/07: A motion was made to accept donations instead of
charging a set fee for the 2018 Tour Season by Barbara Mansfield and
seconded by Nancy Frye.
All in favor, motion carried.
e. Open Hill House 1x per month – dates to be chosen
Motion 04/08: A motion was made to open the Hill House as many
Sundays as possible by Barbara Mansfield and seconded by Nancy Frye.
All in favor, motion carried.
VI. Additional Business & Action Items:

a. Volunteer Kickoff date: May 22 Blue House from 5:30-7 Presentation at

b. Tour Guide Book is complete for this year. We will hand out at Kick off
c. Gardener’s Informational Meeting: ?
d. Electronic Sign: Barb has 3 quotes coming.
e. Swing for Linda is here and a new volunteer has offered to put together for
us.
f. Window shades are needed in Bungalow (Laundry Room area) and we
are in need of (4) window shades for upstairs in Hinbern.
Motion 04/09: A motion was made to put shades up in these area by Mary
Cambridge and seconded by Deanna Brown. All in favor, motion carried.
g. Jan and Vaughn are wanting to fix up the Hill House garden area (near
arch), they would like some rose bushes.
Motion 04/10: A motion to allocate $400 towards rose garden was made
by Barbara Mansfield, seconded by Sandi Pritchard.
All in favor, motion carried.
The next official, Voting meeting will be Wednesday, May 16, 2018.
Adjournment: The meeting was adjourned with motion from Nancy Frye and
seconded by Sandi Pritchard @ 8:39 p.m.
