Voting Meeting
Wednesday, August 15, 2018
The meeting was called to order on August 15, 2018 at the Alexander Blue House at
6:31 p.m.
Present: Deanna Brown, Mary Cambridge, Nancy Frye, Barbara Mansfield, Stephanie
Miner, Gary Pritchard, Sandi Pritchard, Patty Trojan
Absent: Michael Marihugh

I. Review of minutes: Patty Trojan, Secretary
a. June 20, 2018 Voting meeting minutes reviewed
1. 08/01 Motion to approve made by Barbara Mansfield and seconded by Sandi
Pritchard. All in favor. Motion approved.
II. Treasurer’s Reports: Mary Cambridge, Treasurer
a. June 2018 was reviewed
b. July 2018 was reviewed
1. It was noted that as a commission, we need to make sure we are
getting the figures on how much we are making at each event to do cost
comparisons year-to-year.
III. Reports:
a. Chairman’s report:
1. Tours & Donations
a. The new “by donation” system is working well
2. Property Concerns
a. John checks the houses daily- lights being left on is a normal
thing unfortunately.
b. Commissioner’s report of building reviews and activities:
1. Water in the church basement along the north wall where the stairs
are during heavy rain; also, coming in the first window on the right side coming in
the front door
2. Water coming in the school basement seeping in the crack in the
wall.
3. Everything needs paint
4. Hill house basement now dry – both sump pump failed – the alarm
tripped and did not go off – caused by flushing of something that
wasn’t supposed to be flushed
5. Hill bathtub leak fixed
6. Cemetery arch got hit, move to the side so people don’t drive under
it.
c. Greenmead Supervisor: Emily Tchorz
1. Maintenance update:
1. Basement of Caretakers house still leaking – Emily got 3 bids,
going with the lowest coming out of city budget
2. Handicap ramp decking at Blue replaced – 95% done, Brooks
needs to get a piece of metal fabricated for the lip. Done with trex decking
3. Bongero said they would be out this week to do the regrading
around the meeting house and around the lean-to
4. Brooks noticed that the utility box corner at the Blue house had
rotted and the wood needs to be replaced.
5. DUR door and Bungalow window are on the docket for Brooks
6. Waterfall off the Blue House needs gutter – NE corner
7. New maintenance door for Hill house has been ordered and will be
painted to match
8. Maureen got quotes for the carpet for the Church
a. 08/02 Motion made that we use Abby Flooring be selected to do
the floors made by Barb, seconded by Gary – All in favor
9. Questers looking at doing a grant for the Stained glass windows at
the church
10. Kingsley back door needs to be looked at
2. Nankin Mills School House update: new project manager Bill Parker has been on
top of things – all dirt and extras removed, back ramp filled in, fence down, hay down for
highland games – next step is to get the cupola up – he is checking on the progress;
Emily was able to go inside – it’s not as horrible as we thought – chalk board on one
side; new temp electric panel placed for sump pump; $260 raised at the highland games
3. Greenhouse update: Linda McCann and Emily are meeting with someone in the
finance dept so that the specifications can be put on MITN to get proposals.
4. Rental income to date:
1. Church: $5,700
2. Meeting House: $3,745
5. Budget Status of the Trust Fund: Emily needs to get the figures
6. Wayside signs have officially been sent to the company!
7. Eagle scout wants to do a project out here – Emily gave him options. Another
eagle scout redid the outhouse behind the school house so that it can be opened and
looked at – plexiglass front and photos of other outhouses
IV. Review of Events & Planning for Future Events:
a. June/July/August Event Review & Suggested Changes:
1. Livonia Garden Walk – Very nice, they tried vendors and music in
the garden at Hill house – people liked the additions. Give-away gift at Gift
Shop was tea spoon and tea was cute and nice.
2. Touch-a-Truck & Pancake Breakfast
a. Complaints: horns were a bit loud
b. Quality of the food was not as good as last year
c. Change the count by plate paying
d. 08/03 Motion to move time of pancakes from 8 to 9am made by
Nancy, 2nd by Mary, All in favor
e. Motion to not have tours by Barb, second by Sandi – All in favor
3. Highland Games – lots of activity in the buildings with the open
signs out – same amount of food vendors but set up differently near the
school road instead of by Hinbern;
b. August/September Upcoming Events:
1. AMC Car Show – Barb and Lora Cash are going to work the
Hinbern.
2. Livonia Historical Society Picnic – Monday, August 20
3. Fall Flea Market – September 9th, Deanna will do the schoolhouse
donation, sold out for vendors.
1. Weather was a factor in Spring
2. Hotdogs: order same amount as Spring
4. Livonia Historical Society Speaker – Speakers TBD
5. Guns n’ Gowns & Civil War Tea – Tea established – menu to be
decided still, some tickets sold, but more are available. 17th has their
meeting this weekend to do their schedule of events which will then be
available for viewing
VI. Additional Business
a. November Elections – Barb will call around to see who would like to be in
what position
b. Ann Shaw Diary – Barb expressed her thoughts on the diary. It was
decided not to pursue printing.
c. For Special Events, set up needs to be in the contract and the staff needs
to tell the commissioners to not open the building. Rentals of buildings
should take priority over Tour Sunday opening of building. We need to be
aware that it is being rented for that particular day.
d. Renting out the History House to the Highland Games is OK - sorting of
paperwork for musical competitions.
e. Hill House sign so that people knew to go to the back sunroom not the front door
– Deanna will make a sandwich board sign
f. Dehumidifier for the church basement – 08/04 Motion to spend up to $500 by
Nancy, seconded by Barb – all in favor
g. Corn Roast – Nancy, Mike, and Patty signed up but Patty is also signed up for
tours, she will try to switch with someone
The next voting meeting will be Wednesday, September 19, 2018.
